Protecting the information you share with us — from your first tour enquiry through to your safe return home — is part of delivering that experience. This policy explains what we collect, why, and the choices you have.
1. Information we collect
- Booking details — tour selection, travel dates, number of travellers and any accessibility or dietary requirements you share with us.
- Identity documents — for international tours we may collect passport numbers and visa information strictly for booking and entry requirements.
- Contact details — name, email, phone number and billing address so we can confirm your trip and stay in touch before departure.
- Payment information — processed by our payment partners (Visa, Mastercard, American Express, PayPal). We do not store full card numbers on our servers.
- Usage data — pages viewed, tours explored and cookies that help us improve the site. See Section 5 for details.
2. How we use your information
- To process bookings and confirm your tour within 24 hours of request.
- To coordinate with our local guides, boutique accommodation partners and ground operators so your itinerary runs smoothly.
- To send trip updates, pre-departure instructions, vouchers and any changes relating to your booking.
- To send marketing emails about new tours and seasonal offers — only with your consent, and you can unsubscribe at any time.
- To improve the Travel Tour website, respond to support requests and comply with our legal and tax obligations.
3. Sharing with trusted partners
- Local guides and tour operators at your destination, so they can deliver the experience you booked.
- Accommodation and transport providers listed in your itinerary.
- Payment processors for secure handling of your transaction.
- Regulatory authorities and immigration agencies where entry requirements mandate it.
- We never sell your personal information to third parties.
4. Payment security
- All payments are processed through PCI-DSS compliant payment partners over encrypted connections.
- Travel Tour does not store full card details on our servers. Only the last four digits and transaction reference are retained for accounting.
5. Cookies & analytics
- We use cookies to remember your preferences, keep you signed in and measure how travellers use the site.
- You can disable non-essential cookies through your browser settings without affecting your ability to browse tours or make bookings.
6. Your rights
- Access — request a copy of the personal information we hold about you.
- Correction — ask us to update any information that is inaccurate or incomplete.
- Deletion — request removal of your data, subject to booking and tax record-keeping obligations.
- Marketing opt-out — unsubscribe from promotional emails at any time using the link in every email.
7. Data retention
- Booking and payment records are retained for up to 7 years to meet accounting and tax requirements.
- Marketing preferences are kept until you unsubscribe.
- Usage analytics are retained in aggregated, non-identifiable form.
8. International transfers
- Because Travel Tour runs tours across Western Europe, Scandinavia, Asia, America and Africa, your information may be shared with partners outside your home country so we can deliver your trip.
- We only work with partners who agree to handle your data with the same level of care described in this policy.
9. Children's privacy
- Travel Tour does not knowingly collect information directly from children under 16. Bookings that include minors must be made by a parent or legal guardian, who provides the relevant details on their behalf.
10. Updates to this policy
- We may update this policy from time to time to reflect new services or legal requirements. Material changes will be highlighted on this page with an updated effective date.
